Fleet Administrator

Permanent Part Time - 30hrs per week, Based in our South office in Bentleigh, Access to salary packaging benefits - Up to $16,000 tax free.We are currently searching for an experienced Fleet Administrator to provide operational and administrative support for the Fleet Manager to ensure that fleet operations and communications are maintained accurately and in a timely manner across all Bolton Clarke sites and services.
In your new role you will:

  • Provide data entry support – entering data into the fleet management system – including but not limited to vehicle maintenance, fuel records, etolls and preparation of invoices
  • Following up and closing out driver related infringements, including notification to the driver, entry into the preferred risk management system and providing driver information to the appropriate collection agencies and internal departments
  • Insurance claim processes – supporting the Fleet Manager in following up insurance and repair requirements, including co-ordinating repairs with the relevant site managers and drivers
  • Notifying and coordinating service requirements with site managers and drivers to ensure that vehicles are maintained to log book service standards
  • Raising Purchase Orders and CER’s to support new and replacement vehicle programs, including obtaining quotes as requested
  • Preparing for vehicle replacements, including arranging fuel cards, coordinating with site managers as to vehicle readiness and availability for changeovers
  • Update of fleet procedural handbooks as required
  • Preparation of monthly reporting of fleet activities – specific to infringements and collisions, maintenance costs and vehicle disposals and acquisitions

About You:

You will be able prioritise multiple tasks in a busy environment and have the ability to work autonomously. Your proven communication skills across multiple levels of the organisation and your customer service will see you thrive in this role. Intermediate skills in the Microsoft Office suite with advanced skills in Excel and previous experience in a similar administrator role (not necessarily fleet related) will be highly beneficial.
