Façade Contracts Manager – Sydney – NSW
$130K - $170K DOE
Including but not limited to the following specific duties:
  1. Managing Head contracts
  • Review head contract conditions and identify i. Unique features and risks
  • Key conditions including, notice, claims, damages, warranties, bonds, insurance, novation, etc
  • Build a positive working relationship with client’s project management and commercial team and maintain open communication to ensure issues and client concerns are addressed effectively
  • Advise delivery team on commercial basis of contract including rights and obligations of contracting parties
  • Ensure obligations of parties are identified, tracked and delivered through effective contract management
  • Establish procures and plans that manage unique contractual features and minimize risks
  • Work with project manager to ensure head contract variations are identified, priced, administered and coordinated with Head office
  • Prepare monthly progress claims for senior management approval together with Project manager
  • Seek senior management approval for all variations
  • Ensure the project manager timely agree progress claim
  • Evaluate, document, submit and negotiate notices, variations, extensions of time, prolongation and loss and expenses
  • Ensure client invoicing is submitted by due dates in the format required under the contract, inclusive of attachments
  1. Managing Sub-contract
  • Advise Project manager and contract administrators of Sub-contract hand over file
  • Maintain ongoing liaison on sub-contract progress
  • Evaluate progress claim documentation, determine value left to complete with project manager
  • Determine sub-contract variations and submit for senior management approval
  • Ensure adherence to contractual obligations by both parties
  • Negotiate and agree head contract progress claims with client
  • Manage distribution and control of updated drawings and documents
  1. Financial Control
  • Produce and implement approved commercial management procedures
  • Establish, maintain and improve cost reporting and monitoring system
  • In conjunction with project managers and site administration staff update detailed cost plans using actual and forecast costs
  • Prepare monthly summary reports for director review before issuing to Parent company
  • Prepare and present monthly project reviews together with project managers
  • Manage project cash flow
  • Ensure site staff submit accurate and timely information
  • Inform project managers of financial and contractual issues, prepare action and monitor plans
    • o Ensure best buy procurement with project manager in order to maintain commitment within cost plan
    • o Management business insurance commitment
    • o Ensure necessary bank guarantees are in place
    • o Monitor progress payments and pursue overdue payments in parallel brief director
    • o Establish robust procedures for timely payments which are in accordance to the securities of payment Act to sub-contractors / vendors to ensure works are not disrupted
    • o Ensure project manager properly assess sub-contractor invoices and claims
    • o Ensure necessary retentions and insurance, etc are in place
    • o Review and advise the project team on entitlement to claims and changes submitted by sub-contractors and vendors as well as potential head contract changes
    • o Maintain head contract / sub-contract change register
    • o Review basis of compensation and adopt an appropriate strategy to minimize exposure
    • o Ensure that back-charges and counterclaims to sub-contractor / vendor are administered and recovered
    • o Manage commercial close-out documentation for turnover to the client as efficiently and quickly as possible
    • o Ensure strict adherence to limits of authority on contract awards and change management
  1. Information coordination
  • Establish and maintain documentation systems including files, registers and material control in accordance with company procedure
  1. Other General Responsibilities
  • Attend conferences and meetings as directed by senior management b. Any other tasks and duties the management sees fit
