File Manager /Admin Assistant - Part Time (Up to 20 Hours/Week)

Loan Gallery Finance is a growing business, so we're seeking a file manager/admin assistant to work with an independent, experienced broker, providing assistance with loan processing, administration and client support. 


We are a specialist land and construction finance brokerage. We are the largest brokerage in our field with an industry leading reputation for innovation and success! We are partnered with Metricon Homes, Australia's largest residential builder, in both Melbourne.


  • Order valuations on behalf of broker
  • Liaise with broker on valuation progress
  • Answer enquiries concerning credit standing of customers, loan balances and penalties
  • Greet visitors who visit the Loan Gallery office on behalf of the broker
  • Provide accurate and timely updates to customers during the entire lifecycle of loan application
  • Contact financial and credit institutions to obtain information about customers
  • Assist with the preparation of documents setting out conditions of credit and loans, rates of repayment and loan periods, and providing information about customers' standing to financial and credit institutions
  • Review files and documentation to ensure complete and accurate
  • Use the FLEX system to upload and submit files and paperwork
  • Follow up on stakeholders to confirm receipt and commitment to next action
  • Communicate with stakeholders the status of loan files as appropriate
  • Assist with the analysis of information about customers and examining references, credit ratings, investment risks, pay slips and other information against predetermined policy standards
  • Keeping records of payments, and preparing routine letters requesting payment for overdue accounts and forwarding these for legal action

  • Positive attitude and great work ethic
  • Certificate IV or Diploma in Finance & Mortgage Broking, (preferred but not essential)
  • Previous finance/credit or administration experience is preferred but not essential
  • Strong processing skills and attention to detail
  • Ability to work both independently and within a team
