The Town of Cottesloe is seeking applications for our newly created Executive Officer position. We are seeking an experienced and motivated individual who will be responsible for effective administrative and project support to the Chief Executive Officer and Development Services department
About the Role
Reporting directly to the Chief Executive Officer, the Executive Officer role will be responsible for the efficient and reliable management of key administration and project support tasks . The role will be responsible for regular communication with key stakeholders to the Town of Cottesloe including the Mayor, Elected Council Members, and senior Management personnel. Additionally, the Executive Officer will liaise regularly with our Development Services, assistant with the submission of Planning Applications, orders and requisitions.
Assist in the preparation of meeting agendas and attend various meetings when required for the purpose of minute taking.
Coordinate and maintain the CEOs diary appointments and meeting schedule including agendas and minutes and the CEOs travel itineraries.
Prepare reports, documents, advertisements and correspondence including Council documents (Local Laws, Policies, agenda items etc.)
Maintain Town of Cottesloe Policy register. Update existing Town Policies as required.
Support the CEO in his external commitments relating to external boards, committees and other groups.
Contribute to the maintenance of the Town of Cottesloe website for Development Services as required.
Liaise with Mayor, Elected Council Members and Senior Management in a professional and effective manner.
Assist staff and members of the public with advice and guidance regarding Development Services.
Assist with other administrative duties as requested.
Undertake duties as required as Freedom of Information (FOI) Coordinator
Provide administrative support for Development Services.
Receive phone, email and counter enquiries relating to planning and provide appropriate information or refer to the relevant officer. Technical enquiries include zoning, application procedures/progress, fees and charges, property requisitions, land information, meeting dates, etc.
Receive and process development, subdivision/strata and town planning scheme amendment applications.
Coordinate advertising arrangements for planning proposals.
Developed skills in computerised records management and an integrated computer package.
Experience with facilitating FOI applications
Well-developed written and oral communication and customer service skills.
Well-developed public relations and interpersonal skills.
Experience reporting to Senior/Executive level staff or personnel.
Developed problem solving and conflict resolution skills.
Well-developed organisational and time management skills.
Ability to manage a diverse workload and work unsupervised.
Demonstrated ability to conduct research of preliminary information for projects and analysis.
Diploma/Certificate in Business Administration or equivalent, or extensive experience in a similar role.
Sound knowledge of the role, services and structure of local government.
Previous experience in an administrative environment.
Working knowledge of the Towns Local Laws.
