Administration/Receptionist Support (Part Time)- Shoalhaven, NSW

We have an opening for a passionate and dedicated Administration Support to carry out a range of administrative tasks. You will ensure that the day to day business and financial systems and processes are completed so services can continue to run smoothly and achieve greater customer focus. To further develop your skills and knowledge, you will be encouraged and supported to complete a Certificate III in Business

What success looks like

  • Answer general phone enquiries using a professional and courteous manner and direct enquiries to the appropriate staff members   
  • Respond promptly and accurately to requests for general information based on an understanding of the work areas priorities  
  • Greet customers/suppliers/visitors to the organisation in a professional and friendly manner 
  • Administrative tasks are completed accurately, promptly, consistently and in alignment with business process KPIs 
  • Administrative systems and processes are centralised and streamlined across area of responsibility to minimise work undertaken at services 
  • Customer service provided to internal and external stakeholders is of a high quality 

 

A day in the life of an Admin Support

  • Provide service to a range of internal and external customers, demonstrating a service focus in all areas 
  • Enter and check standard business process system entries and/or calculations and deal with basic errors, queries 
  • Draft correspondence for managers involving routine and/or non-technical matters 
  • Use relevant business systems to meet reporting and administrative requirements 
  • Coordinate incoming and outgoing mail, faxes, and courier deliveries  
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available 
  • Code and file material/documentation according to Aruma procedures 
  • Update and ensure the accuracy of relevant databases/spreadsheets 
  • Provide administrative support to management and other office based staff 
  • Address and mitigate risk in own work 
  • Make travel, meeting and other arrangements  

Must Haves

  • A commitment to Arumas code of conduct 
  • Professional presentation, good interpersonal and communication skills; written and verbal 
  • Can adapt communication style to meet peoples needs 
  • Good level of numeracy and literacy 
  • Strong administrative skills; time management, coordination of tasks, efficient work practices 
  • Excellent computer literacy and confidence and capability in using systems and technology 
  • Willingness to complete a Certificate III in Business

Nice to Haves

  • Certificate III in Administration or related field or willingness to obtain and/ or a similar qualification.
