We are seeking an administrative officer to join our growing psychology practice. MINDCHECK Health Professionals (HP) provides psychological services exclusively to health professionals. We are passionate about what we do and require an equally enthusiastic, proactive and compassionate administrative officer who is keen to grow with the practice.
Qualifications & experience
The ideal candidate will:
Have experience in administration and reception within a medical or allied health practice - this is a mandatory criteria. Please do not apply if you do not meet this criteria.
Have a desire to learn and grow with the practice
Have excellent communication and people skills
Have experience with word processing, Excel, database management experience with practice management software desirable
Be organised and attentive to detail
Be able to work in a busy environment
Be happy to commence with part-time hours and build as the practice grows
Be flexible in their availability capacity to work late pm (6pm/7pm) on some days.
Tasks & responsibilities
The role entails all reception and administrative duties involved in supporting our Directors and clinical psychologists and managing front desk. As the administrative officer, you will be the frontline to our practice, and the first contact point for clients and referrers.
As such, first and foremost you will need to have a professional and kind manner and be able to efficiently manage enquiries and appointment bookings.
Your main duties will include:
Answering and directing phone calls, taking enquiries and appointment bookings
Greeting clients, managing bookings, processing payments and rebates
Invoicing and receipting
Liaison with clients, referrers, Medicare
General administrative duties including faxing, scanning, photocopying, filling, mailouts
Maintain/order stationery and other consumables
Support to the Directors and clinicians
