The College of Law is looking for a talented and dynamic Team Assistant to join the team at our City CBD office.
Purpose of position
The primary purpose of this position is to provide high quality administrative support to the Assistant Director Practitioner Education (Professional Development), the Senior Producer and any other members of the seminar production team in relation to:
the NSW face-to-face CPD seminar program;
COLs Online CPD course platform known as CPD Interactive;
the CPD offerings of the College in Queensland, Victoria, South Australia and Western Australia; and
other administrative tasks associated with COL business as directed, from time to time;
The key processes the Team Assistant will be involved with are:
Support the creation of face-to-face online seminars as per annual calendar of events/project plan.
Accurately maintain the CPD seminar calendar, progress planner and shared drive records.
Communicate effectively with seminar/content presenters, clients and other stakeholders, as directed.
Handle basic enquiries escalated from Client Services with respect to the CPD program.
Prepare and send formal seminar invitations and thank you letters to event presenters.
Proof read seminar programs and complete Marketing Advice documents for provision to the Marketing team.
Liaise with Marketing to ensure that programs are published online on time and accurately.
Set up courses and products within COLs Salesforce CRM and within CPD Interactive.
Liaise with CPD Interactive firm clients to provide invoices in accordance with invoice schedules, update firms on new and reviewed content, and be the first point of contact for firm client relations issues.
Attend seminars as directed to ensure that seminar speakers are supported and to otherwise assist in the smooth, efficient delivery of events.
Effectively and efficiently manage any delivery, logistical and/or technical issues to ensure seminars run to schedule and with minimal interruptions.
Experience, Skills and Attributes
Extensive experience in administrative roles, preferably in the legal and/or education industries.
Polite and amiable disposition with the ability to work independently and take direction.
Demonstrated experience coordinating events, seminars and conferences.
Strong proof reading, formatting and editing skills.
Excellent customer service skills and ethics.
Strong verbal and written communication skills with the ability to translate information in a clear and concise manner.
Excellent time management skills with the ability to multitask and meet deadlines.
A high attention to detail.
Strong grasp of technology including advanced MS Office skills.
Previous experience with Customer Relationship Management (CRM) systems such as Salesforce and Learning Management Systems is highly regarded.
A proactive team player who will take responsibility and see tasks through to completion.
Qualifications in administration or business or related are highly regarded but not essential.
