Document Controller / Building Surveyor's Assistant

Builde Permits & Inspections Pty Ltd, a building surveying practice located in Malvern East, is seeking a full-time Document Controller / Building Surveyor's Assistant to join our team.

The Role

You will provide direct project related support to a one of the directors, managing a high volume of daily emails and ensuring project documentation is accurately managed and within a timely manner.  You will liaise with clients, consultants and authorities, as well as electronically deliver time sensitive documentation to relevant stakeholders.  Your role will be varied and pivotal to the day to day functions of the process.  You will become a highly essential part of our team where your efforts will be recognised and appreciated. 

Key Responsibilities:

  • Provide direct support to building surveyors
  • High volume email management
  • Manage project documentation, including updating revisions and superseding (hard & soft copy)
  • Maintain a high standard of document production
  • Ensure timely distribution of documentation
  • Contribute to the improvement of systems and processes to ensure effective management of documentation is maintained
  • Preparation and submission of Council and Water Authority applications
  • Liaise with clients and consultants
  • Calendar management
  • Assist with answering the telephone
  • Maintain and promote positive relationships

Qualification / Skills

  • Prior experience in document control - minimum 2 years (preferably within the construction industry)
  • Computer literate and proficient using Microsoft Outlook, Adobe Acrobat and file sharing programs
  • High attention to detail and accuracy a MUST
  • Excellent time management and organisational skills - a MUST
  • Ability to work within a face paced environment - a MUST
  • Ability to manage conflicting priorities
  • Must have excellent verbal and written communication skills
  • Ability to work independently and within a team
  • Committed work ethic
  • Current and valid driver's licence

To be successful in the role you will need to be confident, highly organised and have impeccable attention to detail. You need to be able to work successfully within a fast-paced environment and effectively prioritise workload.  Excellent written and verbal communication skills are a MUST.  A strong work ethic is highly essential to this role. We are seeking an enthusiastic and flexible team member, with a keen sense of humour.
