About the business

 

Established in 2006, the Summer Foundation's aim is to resolve the issue of young people living in nursing homes. Research underpins the Foundation's work and it has taken on an unprecedented number of projects to inform, educate and influence policy change and achieve better outcomes for people with disability in the wider community. The Foundation has ongoing partnerships with Universities and collaborates with a range of government agencies, decision makers, other not-for-profit organisations and people with disability.

 

About the role

 

The CEO is looking for an experienced Executive Assistant to join the Foundation.  Your role will be to assist the CEO manage a portfolio of responsibilities as Board Director of various organisations in addition to the Summer Foundation CEO role.

The role will suit someone who has initiative to anticipate what can be done to help the CEO be as productive as possible. 

A typical week may have you

  • Complete a broad variety of administrative tasks including: managing an extremely active calendar of appointments, composing and preparing correspondence that is sometimes confidential, monitoring and managing upcoming commitments and travel arrangements, and compiling documents for travel-related meetings
  • Plan, coordinate and ensure CEO's schedule is followed and respected
  • Research, prioritise and follow up on incoming issues and concerns addressed to the CEO and determine appropriate course of action
  • Handle matters quickly, proactively and follow through on projects to successful completion, often with deadline pressures
  • Assist with report preparation and amendments ensuring documentation is presented in a manner supporting and enhancing the professional image of the Summer Foundation
  • Respond to all emails, phone calls and messages in a timely manner
  • Maintain accurate and complete electronic files for meetings including agendas and minutes
  • Ensure a high level of executive and stakeholder service is maintained through face-to face interactions and electronic communications
  • Whilst representing Summer Foundation externally, display friendly, responsive, courteous and effective interaction

The EA role is full time though the CEO is open to different working arrangements for the right person (eg. working 5 days across school hours or 4 days a week) and a competitive compensation package is on offer.  The offices are bright and modern in the Eastern Suburbs (close to train/tram).  

 

Skills and experience

 

The Summer Foundation is primarily a cloud based environment and you need to be comfortable using and learning new technology.   To be successful in this role, the EA will have

  • Diploma or Degree in Administration or other relevant qualification
  • Strong work tenure
  • Minimum 5 - 10 years experience providing Executive support and assistance
  • Proficient in Microsoft Office (Word, Excel & Powerpoint), Adobe Acrobat and social media platforms
  • Excellent communication skills, both written and verbal
  • Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines
  • Capacity to work independently with minimal direction and collaboratively in a team environment
  • The ability to be adaptable, exercise initiative, discretion and good judgement and maintain a high level of confidentiality
