Administration Assistant / Accounts Payable

Total Trade Property Services is a busy professional trades services company specialising in providing general maintenance, renovations and extensions to a wide range of clients including commercial, local government and public housing.   We have a full time position available for an experienced and reliable Administration Assistant to provide excellent support to our property maintenance department, dealing with a high volume of work orders and requests.   You will be available to start immediately and hit the ground running.   

The successful applicant will be friendly and enjoy working as part of a hardworking team. You will need to be flexible, well organised, proactive and quick thinking and be able to assist with the day to day smooth running of our busy company.  A strong attention to detail and well developed analytical skills is a must.  

Job Tasks and Responsibilities:

  • Check, capture and processing of a high volume of supplier invoices on a daily basis
  • Problem solving invoice to WO discrepancies
  • Liaising with suppliers on invoicing queries
  • Liaising with client regarding job requirements, updates and status
  • General administrative duties and clerical support (data entry, typing of quotations, scanning, responding to phone enquiries, reporting as required etc)
  • Assisting maintenance staff and trades to complete work instructions completely and on time
  • Assisting supervisors and coordinator in the organising and efficient running of programmed works
  • Maintaining up to date registers and databases
  • Assisting bookkeeper in adhoc duties
  • Preparation of purchase orders, ordering and tracking of materials
  • Responding to emails and phone calls in a timely manner

The ideal candidate must possess the following:

  • Must have at least 5 years experience in an administrative role
  • Basic bookkeeping skills
  • Strong knowledge of Microsoft Office Suite (in particular Word and Excel)
  • Good organisational skills and ability to prioritise
  • Excellent communication and customer service skills
  • Strong attention to detail and accuracy
  • Excellent time management skills
  • Ability to multi-task and work under pressure
  • Previous experience in construction/maintenance industry is preferred but not essential
