Project Officer

Federal Government role, 12 month contract, CBD location.

Job Summary

The Project Officer supports the work of the State Office in the administration of matters relating to corporate, governance, enrolment and election readiness functions, including participating in section planning for short term tasks and work area planning for longer term initiatives. The Project Officer contributes to the administration of specific projects relating to the conduct of an Event.

The role is responsible for undertaking work that is moderately complex in nature, under general direction, utilising functional expertise to support the delivery of corporate, compliance and governance functions, election events and project outcomes.

This position is an agile position and during the election cycle will be required to contribute to the delivery of different projects across the State Office as agency priorities necessitate and as directed by management.

Duties

  • Assist with the planning, scheduling and completion of components of projects.
  • Check project progress including monitoring schedules, and checking budget data.
  • Accurately record project expenditure and resource allocation.
  • Conduct research and analysis, providing reports and conclusions on findings and assist in the drafting of policy and delivery of projects.
  • Corporate and governance responsibilities
  • Support the delivery of administrative, financial and human resource functions in the work area.
  • Receive and receipt payments of funds in relation to projects or wider programs.
  • Provide broad administrative support to specific projects such as records management tasks.
  • Support the procurement processes of the work area including using templates to initiate procurement, and reporting activities.
  • Prepare minutes of meetings and/or committees, boards or other project and program fora and provide general administrative support for secretariat work within a project.
  • Under supervision, undertake asset and property management functions.
  • Under supervision, undertake security management function for the State Office.

Other responsibilities

  • Assist in the planning and preparation of Events.
  • Contribute to doctrine, election preparation and delivery activities in accordance with the election readiness framework, according to individual accountabilities and responsibilities.
  • Build rapport and maintain stakeholder relationships, including liaising with stakeholders to assist in resolving moderately complex issues. This includes representing the work area at internal and external meetings and conferences.
  • Make and communicate decisions within defined boundaries relating to the area of responsibility using expertise and knowledge, governed by legislation, regulations, best practice principles or relevant operating instructions and procedures.
  • Perform additional duties or assume responsibility of functions as directed from time to time.
